Greytip Online Release 3.0.0 - What's New

Greytip Online 3.0.0 is an exciting release with lots of new features and improvements.

Without much ado, let's take you through a quick tour of the features:

Payroll

1. We have enhanced the UI for releasing Income Tax Declaration to employees. You can now filter the employee list by Released or Locked status. A new facility to short list employees using criteria builder (Query & Add) delivers more power to you.

   
   

2. We have enhanced the Salary Statement page. You can now easily filter by different categories by changing the category type.

3. We have now provided multiple output formats for Settlement Payslip. You can now get the final settlement payslips in PDF, Word or Excel file formats.

4. Income Tax: you can now specify an overall section maximum limit for various sections (80D, 80DD) apart from item-wise maximum limits. Previously you could specify maximum limit at section level for only section 80C.

5. Income Tax: We have added facility to calculate income tax for contract employees.

6. Income Tax: we have added support to handle the missing PAN No rule. According to the new rule, if Permanent Account Number (PAN) of the employee is not available, either 20% or actual tax (which ever is higher) is to be deducted on all transactions liable for TDS.

   We have now provided a facility where you can track employee PAN numbers and mark them as valid or not valid. Employees with non-validated PAN numbers will be deducted tax as per the above rule.

   

7. Income Tax: You can now digitally sign Form 16 documents of your employees. Generate Form 16s, apply digital signatures and release to employees online. Employees can login to their accounts and download their digitally signed Form 16 documents in PDF format. It makes the whole exercise simple and effortless.

   
   

8. Many big employers with large number of employees (hundreds) process payroll in batches and release payslips to employees in batches. We now support this requirement by which you can release payroll to employees in batches by using the Criteria Builder. (Note: This facility is not available by default. If you need this feature, please contact us to get this enabled.)

   
   

Expense Claim Management

Many customers have asked us for an expense claim management solution to simplify handling of employee expense claims. We have now released the expense claim module to fulfill this need. This is a comprehensive module with expense claim workflow, employee & manager self service, bulk claim processing & payment, MIS reporting and alerts.

1. You can setup any number of expense claim heads like travel, lunch, night cabs, etc.

   
   

2. Claim approval workflow where employees apply for a claim and manager has to approve the claim for payout.

   
   
   

3. Facility to attach claim proofs like bills, tickets, etc.

4. Employees can check and get summary information about their expense claim at their convenience

   
5. Batch processing of claims and payouts
   
6. Report to get the list of claims paid by batch
   
7. Intimation alerts to employee when payout is done. (Only if employee payment type is Bank Transfer)

Leave management

1. Greytip Online allows you to have multiple leave schemes with different leave policies for each leave scheme. Different categories of employees can be assigned different leave schemes. Now, assume that for one scheme you have an annual leave granting policy where 20 days of leave is granted at the beginning of the year. You have another scheme where annual grant of 24 days is applicable. In this scenario, what happens when the leave scheme of an employee changes mid-year? Or, what happens when the employee resigns?

   You can easily handle all these cases with our new feature that allows for rollback and re-grant of leave balances when leave scheme is changed.

   
   

2. Granted leave expiry after a defined set of days. Some organizations have this policy that any comp-off leave that is granted should be utilized within 90 days or else it expires. In such cases, this feature of leave expiry is quite handy.

3. You can now send automatic reminder mails to employees with excessive leave balance.

4. A new report to get a list of employees who have availed leave in a given date range and or have applied for leave.

Employee management

1. You can now publish various HR forms (PDF, DOC, XLS, etc.) to employees. Employees can login and download these forms. This feature eliminates one more admin task from your list.

2. Employee Work Experience: New feature to capture employees previous work experience.

3. New, improved Excel Importer. We have redesigned the Excel import facility for simpler usage. (In the earlier design, you needed to upload the Excel files with exact column headings for each field for successful import.) You can now upload any Excel file and then map the excel columns to specific fields. The importer will remember the mappings so that if you upload another Excel file with the same column headings you need'nt do the mapping again!

4. Employee Directory category type filter is now dynamic. Facility to change the category type for filtering.

Reports

1. Reports are generated with its default output format (pdf/Excel/web). Provided options to select the type of output required for each report.
2. Reimbursement Claim Details report. This report can be used to get the employees claim details like bill number, amount, bill date, description, approved amount claimed in a given period.

Utilities

While Greytip Online is quite useful for the small organization with simple requirements, it really shines when you have more demanding requirements. Larger companies and especially payroll processors have lots of special requirements in how the want to work with their payroll data. We have added lots of data manipulation tools to make the job of year end processing much easier and flexible.

1. Tool to carry forward IT declarations of employees from previous financial year to current year
2. Tool to clear IT declarations of employees for the financial year
3. Accumulation Processor: Tool to recalculate accumulation items from the start of the financial Year
4. Formula Items processing: Tool to recalculate formula items for a month if the formula definition is modified.
5. Edit PayfileThe ultimate tool to mess with the payroll internals and do what you like with minimum restrictions. Use this tool to update previous month's payroll data. (Disclaimer: This is a tool for advanced users and the warranty is void when you play with this tool. You should be knowing very well the implications of using this tool. In any case, this is not enabled by default for regular users.)

1. We have enhanced Greytip Online in terms of better security and higher performance by upgrading our security framework and system architecture.
